Privacy Policy

This Privacy Policy describes how Bike Ops ("we," "us," or "our") collects, uses, and shares information when you use our website at bikeops.co, our application at app.bikeops.co, shop subdomains (such as yourshop.bikeops.co), and our iOS and iPadOS apps (together, the "Services").

Who this policy covers

Our Services are used in different ways:

  • Shop owners and staff create accounts to run repair workflows, messaging, and payments for their business.
  • Customers interact with a specific bike shop through booking forms, status pages, chat, email, SMS, and the customer-facing app.
  • Website visitors browse our marketing pages or contact us before signing up.

Each shop using Bike Ops decides how to communicate with its own customers. For customer repair data, the shop is generally the business that collects the information; Bike Ops processes that information on the shop's behalf to provide the Services.

Information we collect

Account and shop information

When a shop signs up, we collect information such as owner name, email address, shop name, workspace subdomain, login credentials (stored in hashed form), and billing details needed for subscription management.

Repair and customer records

Shops enter or receive customer information including names, email addresses, phone numbers, bike details, repair notes, job status, invoices, photos, chat messages, and payment status. This data is stored in the shop's isolated workspace.

Communications

We send and receive transactional email and, when enabled by a shop and permitted by the customer, SMS messages about bookings, repair updates, payment links, reminders, and review requests. Message content and delivery metadata may be processed by our email and SMS providers.

Payments

Card payments are processed by Stripe. We do not store full card numbers on our servers. We may store Stripe customer identifiers, payment intent references, and payment amounts tied to repair jobs.

Mobile app

The Bike Ops app may collect device push notification tokens, app version, and usage needed to deliver notifications and authenticate users. Tap to Pay and card reader features may use device location and Bluetooth as required by Stripe Terminal and Apple.

Website and marketing

On our marketing site we may collect information you submit through chat or contact forms (such as name and phone number), along with standard log and analytics data. We use analytics tools (including PostHog) and advertising tags (such as Google Ads and Meta) on marketing pages unless you opt out where offered.

How we use information

We use information to:

  • Provide, maintain, and improve the Services
  • Authenticate users and secure accounts
  • Process bookings, jobs, chat, invoices, and payments
  • Send service-related email and SMS on behalf of shops
  • Deliver push notifications in the mobile app
  • Provide customer support and respond to inquiries
  • Analyze product usage and marketing performance
  • Comply with law and enforce our terms

How we share information

We share information only as needed to run the Services, including with:

  • Infrastructure and hosting providers (for example Vercel) that host our application and marketing site
  • Stripe for payment processing
  • Email delivery providers (such as Resend) for transactional email
  • SMS providers (such as Twilio) when shops send text messages
  • Analytics providers (such as PostHog) on our marketing site and product
  • Communication tools used for website chat and business messaging
  • Expo / Apple for app distribution, updates, and push notification delivery

We do not sell personal information. We may disclose information if required by law or to protect rights, safety, and security.

Cookies and analytics

Our marketing site may set cookies for analytics and advertising measurement. You can opt out of PostHog analytics on bikeops.co by visiting bikeops.co/?posthog_opt_out=1 once in your browser. To turn analytics back on, visit bikeops.co/?posthog_opt_out=0.

You can also control cookies through your browser settings. Blocking cookies may affect certain site features.

Data retention

We retain account and shop data while a subscription is active and for a reasonable period afterward so shops can export records or reactivate. Shops may delete or archive customer and job data within their workspace according to product features and their own business needs. Backup and log data may be retained for a limited time for security and operations.

Security

We use administrative, technical, and organizational measures designed to protect information, including encryption in transit (HTTPS), access controls, and tenant isolation between shops. No method of transmission or storage is completely secure.

Your choices and rights

  • Customers of a shop: Contact the bike shop directly to access, correct, or delete repair-related information they hold about you.
  • Shop accounts: Sign in to manage workspace data or contact us to close an account.
  • SMS: Reply STOP to opt out of marketing or service-related texts from a shop's number, as described in the message. Reply HELP for provider help text where supported.
  • Email: Transactional repair emails may not support replies; use links in the message or contact the shop.
  • Push notifications: Disable notifications for Bike Ops in your device settings.

Depending on where you live, you may have additional rights to access, delete, or port personal information. Contact us using the details below and we will respond as required by applicable law.

Children

The Services are intended for businesses and their customers. We do not knowingly collect personal information from children under 13. If you believe we have collected such information, contact us so we can delete it.

International users

Bike Ops is operated from the United States. If you access the Services from other regions, your information may be processed in the United States and other countries where our providers operate.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the effective date above. Continued use of the Services after changes become effective means you accept the updated policy.
